3. Categories of personal data processed by WTS and sources of the data
WTS processes the following personal data:
- Personal master data (e.g., salutation, title, first name, last name, if applicable, department and position);
- Contact information (e.g., address, email address, telephone number, mobile number, if applicable, fax number);
- Company information (e.g., name and address of the company);
- University (e.g., name of the university, course of study, semester);
- Additional information, such as type of contact (e.g., customer, alumnus, student, etc.);
- Event invitation, registration status and attendance list;
- Pictures/video- and audio-recordings.
If you have not provided the aforementioned data to WTS yourself, WTS has received it, for example, from your employer, your university, or the association to which you belong. Should WTS receive your personal data from other sources, WTS will inform you separately about this, unless and to the extent that WTS is exempt from this obligation according to statutory provisions.
4. Purposes for which personal data are processed
WTS processes personal data for the purposes of
- Invitation to, as well as planning, organization, and execution of events, seminars/webinars, (specialist) meetings or conferences (hereinafter "Events");
- Participant management and, if necessary, preparation of name tags;
- Conducting access control at Events;
- Submission of presentations/conference materials and feedback forms;
- Maintaining client and business relationships as well as acquiring new clients;
- Documentation of the event for internal purposes as well as for public relations;
- Quality assurance and improvement of future Events;
- If applicable, evaluation of recruiting success at events for students;
- Publication of pictures/video- and audio-recordings.
5. Legal basis for data processing
Legal basis for data processing by WTS is:
- Art. 6 para. 1 subpara. 1 lit. f) GDPR, insofar as the data processing is necessary for the protection of the legitimate interests of WTS or those of a third party. These includem in particular, invitations to as well as the planning, organization and execution of Events, the mailing of presentations/conference materials and feedback forms, as well as other interests connected to Events (see section 4);
- Art. 6 para. 1 sentence 1 lit. a) GDPR, insofar as you have given WTS your consent to the processing of your personal data for specific purposes (e.g. consent to the publication of image and audio recordings in which you are clearly identifiable);
- Art. 6 para. 1 subparagraph 1 lit. b) GDPR, insofar as the processing of your personal data is necessary for the execution of the event for which you have registered.
6. Recipients of data
WTS may pass on personal data to the following recipients, if applicable, in the context of planning, conducting, and following up on events:
- within WTS Group[1] responsible employees, for example from the WTS service lines, who are responsible for the technical execution of the events, or to the accounting department, which is responsible for the billing;
- Service providers, such as IT service providers, graphic designers, print service providers/letter shops, or external event service providers;
- if applicable universities, associations, or other third parties with whom cooperation agreements exist.
7. Transfer of personal data to third countries
Data transfers to third countries (states outside the European Union [EU] and the European Economic Area [EEA]) only take place if an invitee is located in a third country and the invitation contains personal data (e.g., from speakers), the event location is in a third country and there is a legal obligation to disclose participants, you have given your consent to WTS for this purpose, or if it is otherwise permitted by law.
In this case, data transfer takes place only after thorough review and assessment and only if the entity in the third country offers an adequate level of data protection or appropriate safeguards are in place to ensure an adequate level of data protection at that entity (Art. 45 et seq. GDPR), or if a legal exception applies (Art. 49 para. 1 GDPR).
If and to the extent that you wish to receive further information about the safeguards in individual cases, you are welcome to contact the WTS data protection officer named under section 2.
8. Duration of storage of personal data
The personal data collected by WTS is only stored for as long as is necessary to fulfil the purpose associated with the storage (e.g., event execution) or to comply with legitimate retention reasons or obligations. For example, the data is stored for the duration of respective statutory retention periods. After the retention period has expired, WTS examins whether there are grounds for further retention. These may include, for example, your consent or the establishment, exercise, or defense of legal claims.
9. Betroffenenrechte
You have the following rights:
- Right to information pursuant to Art. 15 GDPR;
- Right to rectification pursuant to Art. 16 GDPR;
- Right to erasure ("right to be forgotten") pursuant to Art. 17 GDPR;
- Right to restriction of processing pursuant to Art. 18 GDPR;
- Right to transfer your data in a structured, commonly used and machine-readable format pursuant to Art. 20 GDPR;
- Right to object pursuant to Art. 21 GDPR.
If and to the extent that you have given us your consent to process data, you have the right to revoke this consent at any time for the future. The revocation does not affect the lawfulness of the processing carried out since the consent until the time of revocation.
If WTS Advisory processes personal data to safeguard legitimate interests within the meaning of Art. 6 para 1, subpara (1) lit. f GDPR, you have the right under Art. 21 para (1) GDPR to object to this processing on grounds relating to your particular situation. You may object to processing for direct marketing purposes at any time without giving reasons in accordance with Art. 21 para. (2) GDPR. To exercise your right to object, simply send an informal message to WTS (e.g. by email to info@wts.de) stating which data processing you are objecting to.
If you believe that the processing of your personal data violates the General Data Protection Regulation, you have the right to file a complaint with a competent supervisory authority for data protection, for example at your place of residence, your place of work or the place of the alleged violation, in accordance with Art. 77 para (1) GDPR. The following regional data protection supervisory authority is responsible for WTS: Bayerisches Landesamt für Datenschutzaufsicht, Promenade 27, 91522 Ansbach.
Detailed information on your rights as a data subject can be obtained from the data protection officer of WTS, whose contact details are given in section 2 above.
10. Obligation to provide data
In principle, there is no legal or contractual obligation on your part to provide WTS with your personal data. However, if you wish to personally participate in Events., it is usually necessary to provide your personal data so that you can be invited and/or your participation can be enabled. If WTS does not receive the required data, this may have the effect that you are not able to participate in the event.
